Invoices, forms and contracts

Documents read, checked and filed, without the typing

Every business has a pile of documents someone retypes by hand: supplier invoices, intake forms, applications, contracts and claims. It is slow and dull, and a small typing mistake costs real money later. We set up AI that reads each document as it arrives, pulls out the details you need, checks them against the page and your own records, and files them into your accounting, practice or case software. Anything unclear goes to a person to review before it is saved.

Try it with your own document

Drop in a document

Paste the text of an invoice, an intake form or a contract. See the fields pulled out, each one checked against the page, what a person should review, and where it would be filed.

Or try an example:

The reading is live. A field is marked found only if its value appears in what you pasted; anything else goes to review. Nothing is saved or sent. The three examples are samples we wrote. Nothing you paste is stored.

Want your documents read and filed like this every day? Book a call.
  • Documents filed the day they arrive, not when someone finds the time
  • Fewer typing mistakes carried into your books and records
  • Your team reviewing the exceptions instead of retyping every page
  • A record of every document, what was taken from it and who approved it
What we build

What it covers

Invoices and bills

Supplier invoices and receipts read line by line, matched to the right vendor and account, and prepared as bills for your approval.

Forms and applications

Intake forms, applications and questionnaires, typed or scanned, turned into clean records in the system you already use.

Contracts and agreements

Parties, key terms, dates and renewal deadlines pulled from contracts, with a reminder before anything lapses.

Checked before it is saved

Every value is checked against the page and your records. Anything missing or unclear goes to a person to review.

Filed into your systems

Results go straight into your accounting, practice, case or CRM software, or a shared drive, named and filed the way you already work.

From wherever they arrive

Documents from an inbox, a scanner, an upload link or a shared folder all go through the same steps.

What you get

What lands in your hands

Everything is built on your accounts and handed over with documentation. You own it from the first day.

  • Processing set up for the document types you choose
  • Checks, and a review queue for anything unclear
  • Connections to the systems the details are filed into
  • A log of every document processed and every approval

Or have Sanaf do the data entry

If the documents arrive by email and go into apps Sanaf already connects to, it can read and enter them itself from Slack or Teams, free to start.

Questions

Asked before we start

What about scanned or handwritten pages?
Clear scans and phone photos work well. Messy handwriting is harder, so those pages go to the review queue rather than being guessed.
Does it replace our bookkeeper or office staff?
No. It takes the retyping off their desk, so they spend their time on the checks and decisions that need a person.
Where do our documents go?
We agree in writing, before we start, where documents are stored, who can see them and how long they are kept. Access is limited to your team.
Which documents can you handle?
Most documents with a regular shape: invoices, receipts, forms, applications, statements, contracts and claims. We start with the one that costs you the most time.
