The admin around the advice, handled.

A practice bills for judgment and spends its days on intake forms, missing documents and reminders. Sanaf takes the intake, chases the paperwork, watches the dates, keeps the file notes current and gets the bills out. It gives no advice, and anything privileged or sensitive waits for a person.

At work

An illustration of how the conversation reads, not a transcript from a client account.

For a firm, Sanaf handles the work around the advice: new-client intake and conflict-check preparation, chasing clients for the documents a matter needs, deadline and renewal tracking, file notes after every call, and time and billing admin. It works in the practice tools you already run, gives no legal or tax advice, and hands anything substantive to a professional.

Sound familiar?

The work that is still there, and what changes

Half of every matter is waiting for a client to send a document.

With Sanaf: It asks for the documents, chases them politely on a schedule, and tells you what is still missing.

Deadlines live in three calendars and one head.

With Sanaf: It keeps one list of dates per matter, reminds the right person, and flags anything within your warning window.

Bills go out late because the notes were never written up.

With Sanaf: It drafts the file note after each call, keeps time entries current, and prepares the bill for your review.

What it takes over

The routine, end to end.

  • New-client intake, with the conflict-check details gathered
  • Document requests and the chasing that follows
  • Deadlines, renewals and filing dates, tracked per matter
  • File notes and matter summaries after every conversation
  • Time and billing admin, with bills prepared for review
What waits for a person

Always, unless you say otherwise.

  • Any question that asks for legal or tax advice, however small
  • Anything privileged, or a client who is upset or in a hurry
  • Sending a bill, a demand, or a filing to anyone

Every rule is per kind of action, and it starts stricter than you will keep it. It drafts before it sends until you promote it. How it works.

Ask it the way you would ask a colleague

Lines from real jobs, as they are typed in Slack or Teams. It works in the thread and comes back with the work, or with the question it needs answered.

@Sanaf, run intake for the new enquiry in this thread and list what we still need from them.

Owns one lane

Administrative & back-office work

  • Processes emails
  • Updates spreadsheets
  • Enters data
  • Creates documents
  • Organizes files
  • Generates reports
  • Handles administrative workflows

Where it stops: Anything that reads as a customer issue, a bill, or a decision gets routed to the right person instead of filed away.

AI Compliance Coordinator

16

Owns one lane

Policies, documentation & compliance workflows

  • Tracks policy and renewal dates
  • Maintains compliance documentation
  • Runs recurring compliance checklists
  • Collects and files required records
  • Flags expiring licenses, permits, and insurance
  • Prepares documentation packets for audits and reviews

Where it stops: You organize and remind, you do not give legal or regulatory advice. Anything with real exposure goes to a person and their advisor with the paperwork already assembled.

AI Finance Assistant

17

Runs a function

Invoices, expenses & financial admin

  • Tracks invoices
  • Monitors outstanding payments
  • Categorizes expenses
  • Sends payment reminders
  • Creates financial summaries
  • Assists with bookkeeping workflows

Where it stops: You never move money and never make a payment. Disputes, write-offs, and anything unusual in the books are flagged to a person or their accountant.

AI Customer Service Manager

02

Runs a function

Customer support & issue resolution

  • Handles customer questions
  • Resolves common issues
  • Manages support conversations
  • Escalates complex problems
  • Tracks customer satisfaction

Where it stops: Refunds, exceptions to policy, and any customer who is genuinely unhappy go straight to a person, with a short summary of what happened and what has already been tried.

AI Legal Assistant

29

Owns one lane

Contracts, matter files & legal admin

  • Drafts standard contracts and letters from your templates
  • Prepares a first-pass review of incoming contracts against your standard terms
  • Tracks contract dates, renewals and deadlines
  • Sends documents for signature and chases them
  • Keeps matter and client files organized
  • Prepares intake summaries for new matters

Where it stops: You are an assistant, not a lawyer, and you say so. You do not give legal advice, you never send a document to the other side without a person approving it, and anything unusual in a contract goes to the lawyer or the owner with the clause quoted.

AI Bookkeeper

28

Owns one lane

Categorizing, reconciling & month-end close

  • Categorizes transactions from the bank feed
  • Matches receipts and bills to transactions
  • Reconciles bank and card accounts each week
  • Prepares the month-end close checklist
  • Chases missing receipts and unexplained transactions
  • Prepares the pack your accountant asks for

Where it stops: You keep the books, you do not give tax or accounting advice. A transaction you cannot categorize with confidence, a reconciliation that does not balance, or anything that looks like an error at the bank is set aside for a person or their accountant with your working shown.

Questions

Before you hand it this job

Will it give clients advice?
No. It is told, in its job description, that it does not, and a question that asks for advice goes to a professional with the context attached. It handles the admin around the advice, not the advice.
What about confidentiality?
Sign-ins are scoped to the job, your data is never used to train a model, and everything it does is written down in a log you can read. The security page names every third party that touches data and which standards each holds. If your obligations need more, tell us before you commit to anything.
What happens before it sends anything?
It watches and drafts first. In shadow mode Sanaf writes what it would have sent and shows you, and nothing leaves until you promote it. You move it up a level at a time, per kind of action, so being trusted to answer a question never means being trusted to send an invoice.
What does this cost?
You start free with $120 of credit and no card. After that you buy credits from $20 as you need them and pay for the work Sanaf does, not per seat and not per job, so handing it a second job for this team costs nothing until the work happens. The credit never expires.
