Solutions by job

The invoices go out, and get chased, without you.

Chasing money is nobody’s favourite job, so it does not get done. Sanaf drafts the invoices on schedule, sends the reminders politely and persistently, files the receipts, keeps the calendar, and tells you what the numbers mean in a note you can read in a minute.

At work

An illustration of how the conversation reads, not a transcript from a client account.

Sanaf takes the money admin and the back office: invoices drafted on schedule from the jobs that are done, overdue reminders on a cadence you set, expense and receipt filing, the calendar and the inbox triage, and a weekly note on the numbers. It moves no money and signs nothing; those wait for you.

Sound familiar?

The work that is still there, and what changes

The awkward payment reminder sits unsent for a week.

With Sanaf: It sends the reminder on the day, politely, and again on the schedule you set, and flags the one that needs a call.

Receipts pile up in a drawer until the accountant asks.

With Sanaf: It files each one against the right category as it arrives and asks about the ones it cannot place.

The numbers are in the software, but nobody reads them.

With Sanaf: It writes the weekly note: what came in, what went out, what is overdue, and what changed.

What it takes over

The routine, end to end.

  • Invoices drafted on schedule from completed jobs
  • Overdue reminders on a cadence, with the difficult ones flagged
  • Expense and receipt filing into the books
  • Calendar and inbox triage for the owner
  • The weekly numbers, in plain English
What waits for a person

Always, unless you say otherwise.

  • Moving money: payments, refunds, transfers, payroll
  • Anything that changes an amount on an invoice a customer has already seen
  • A customer who disputes a charge, or asks for time to pay

Every rule is per kind of action, and it starts stricter than you will keep it. It drafts before it sends until you promote it. How it works.

Things people paste into the channel

Ask it the way you would ask a colleague

Lines from real jobs, as they are typed in Slack or Teams. It works in the thread and comes back with the work, or with the question it needs answered.

@Sanaf, draft the invoices for the jobs finished this week and show me before they go.

Who is more than fourteen days overdue? Send the second reminder to each.

File the receipts in this thread against the right categories.

What do the numbers say this week compared with last?

AI Finance Assistant

17

Runs a function

Invoices, expenses & financial admin

  • Tracks invoices
  • Monitors outstanding payments
  • Categorizes expenses
  • Sends payment reminders
  • Creates financial summaries
  • Assists with bookkeeping workflows

Where it stops: You never move money and never make a payment. Disputes, write-offs, and anything unusual in the books are flagged to a person or their accountant.

AI Administrative Assistant

18

Owns one lane

Administrative & back-office work

  • Processes emails
  • Updates spreadsheets
  • Enters data
  • Creates documents
  • Organizes files
  • Generates reports
  • Handles administrative workflows

Where it stops: Anything that reads as a customer issue, a bill, or a decision gets routed to the right person instead of filed away.

AI Business Analyst

19

Owns one lane

KPIs, analytics & insights

  • Monitors KPIs
  • Analyzes revenue
  • Analyzes sales performance
  • Identifies trends
  • Detects anomalies
  • Creates business reports
  • Recommends actions

Where it stops: You report what the numbers say and where you are unsure. You never dress up a shaky number as a certainty, and every recommendation is a person’s to accept or ignore.

AI Data Entry Clerk

26

Owns one lane

Data entry, record cleanup & imports

  • Enters records from emails, forms, scans and attachments
  • Moves data between spreadsheets, your CRM and your accounting software
  • Cleans up duplicates and inconsistent records
  • Checks new entries against what is already on file
  • Runs recurring imports and exports
  • Flags anything that does not match

Where it stops: You enter and tidy, you do not decide. A record you cannot read confidently, a duplicate that might be two real customers, or a figure that disagrees with the source goes to a person with both versions side by side, and nothing is deleted on your own say-so.

AI Accounts Payable Clerk

27

Owns one lane

Supplier bills, approvals & payment runs

  • Captures supplier invoices from email and attachments
  • Enters bills into your accounting software
  • Matches bills to purchase orders and deliveries
  • Routes bills for approval and chases the approver
  • Prepares the weekly payment run for sign-off
  • Answers supplier questions about when they will be paid

Where it stops: You never pay anything and never approve a bill. Every payment run is a list for a person to release, a bill that does not match its order goes to a person with the difference shown, and a new supplier or a changed bank detail is flagged before anything moves.

AI Bookkeeper

28

Owns one lane

Categorizing, reconciling & month-end close

  • Categorizes transactions from the bank feed
  • Matches receipts and bills to transactions
  • Reconciles bank and card accounts each week
  • Prepares the month-end close checklist
  • Chases missing receipts and unexplained transactions
  • Prepares the pack your accountant asks for

Where it stops: You keep the books, you do not give tax or accounting advice. A transaction you cannot categorize with confidence, a reconciliation that does not balance, or anything that looks like an error at the bank is set aside for a person or their accountant with your working shown.

Questions

Before you hand it this job

Does it have access to our bank?
Only if you give it, and it does not need it for most of the job. It works in the invoicing and accounting apps with scoped sign-ins. Anything that moves money is held behind your approval, and you can keep the bank out entirely.
Will it upset customers with reminders?
The reminders are in your voice, on the cadence you set, and it stops the moment someone replies. A customer who disputes a charge or asks for time gets a person, not a third reminder.
What happens before it sends anything?
It watches and drafts first. In shadow mode Sanaf writes what it would have sent and shows you, and nothing leaves until you promote it. You move it up a level at a time, per kind of action, so being trusted to answer a question never means being trusted to send an invoice.
What does this cost?
You start free with $120 of credit and no card. After that you buy credits from $20 as you need them and pay for the work Sanaf does, not per seat and not per job, so handing it a second job for this team costs nothing until the work happens. The credit never expires.
