The best AI answering services, by who picks up the call

An answering service is three different purchases sold under one name. Some put a trained person on every call and use AI to help them. Some are an AI you set up yourself in an afternoon. And some are built for you. Which one fits depends less on the features, which have converged, than on who you want the caller to reach.

The short answer

Decide who the caller should reach first. If a real person has to be able to pick up every call, choose a service staffed by people, such as Smith.ai or Ruby, and expect to pay by the call or the minute. If an AI can take most calls and pass the rest to you, a self-serve AI answering service such as Upfirst, Rosie, Goodcall or Frontdesk is the quickest and cheapest start. If you want the whole thing built around your own rules, calendar and CRM, and run for you, that is a build, not a subscription.

Where we stand: We make one of the things on this list. The last entry is ours: our agency builds and runs AI receptionists for clients. It is last because for most callers one of the products above it will do the job, sooner and for less, and we would rather say so than pretend otherwise.

How this was put together: This is not a hands-on test. Nothing here was trialled, called or scored. Each entry was read from the vendor’s own pricing page on the date shown against it, and that page is linked from the entry so you can check the claim yourself. We describe how each one charges and never quote the figure, because prices change and a stale number is a false claim.

Questions

What is an AI answering service?
A service that answers your business calls with an AI voice: it greets the caller, answers common questions, takes a message or books an appointment, and passes the call to a person when it should. Some also answer website chat and texts.
Is an AI answering service better than a human one?
It is faster to set up, can answer several calls at once, and usually costs less per call. A trained person is still better with an upset caller, a complicated question or anything sensitive, which is why the services staffed by people now use AI to help rather than to replace.
How do AI answering services charge?
Four ways, all on this page: by the call, by the minute, by the number of distinct people who call, or by a monthly allowance across calls, chats and texts. Which is cheapest depends on how long your calls run and how many repeat callers you have, so check each vendor’s page against your own call log.
Can I keep my business number?
Usually, yes. The common setup is to forward your existing number to the service, often only when nobody picks up or after hours, or to take a new number from them for a separate line. Check the vendor’s setup page before you move anything.
Will callers know they are talking to an AI?
They should, and the good services introduce themselves honestly. Callers mostly care about getting a real answer or a booked appointment instead of voicemail, and anyone who asks for a person should be passed to one.
