Schedule recurring work

Routines are the jobs Sanaf does on its own, on a schedule you set, such as a morning inbox summary or a weekly report.

Two ways to set one up

  • Ask Sanaf. In Slack, Teams or the console chat, say what you want and when, for example "Every weekday at 8am, summarise yesterday's new leads". Sanaf shows you an approval card with what it will run and on what schedule. Nothing is scheduled until a person approves it, and changing or deleting a routine this way asks again. The results come back to the place you asked from.
  • Use the console. Open Routines in the left rail. The screen is titled Tasks.

Create a task in the console

  1. Open Routines and select New task.
  2. Fill in Title, for example "Morning inbox summary".
  3. In Description, say what Sanaf should do, with any context or sources it needs.
  4. Under When, choose On a schedule, over and over or Once, at a time I pick.
  5. For a repeating task, pick a Pattern: Every N minutes, Every N hours, Daily at time, Weekdays at time, Weekly on selected days or Monthly on day. Then set the time, the number, the days or the day of the month.
  6. Check the line under the pattern. It says in words when the task will run, and in which timezone.
  7. Leave Where to post the result blank to have results posted in the console chat.
  8. Select Create task.

Only an owner or an admin can create or change tasks.

Manage your tasks

Each task on the list shows its schedule, when it runs next, where it posts and whether it is running or paused. You can:

  • Edit it. Changing the schedule cancels the run already waiting and starts again from the next occurrence. Remove task is at the bottom of the same dialog.
  • Run now to try it straight away. This works on a paused task too.
  • Pause it, and Resume it later.
  • Cancel a one-off task, including a follow-up Sanaf scheduled for itself.

Use the search box and the Status and Sort menus to find a task. Select Calendar to see the runs laid out by day, week or month, and List to go back.

See how a task is doing

Select How it has been going under a task to see its recent runs, what each one did, and what it cost in the last 30 days. If Sanaf turned the task into a program that runs on its own, Show the code shows it.

A task that fails is marked last run failed, or failed with a count when it keeps failing. Sometimes a task also shows a highlighted note with advice about it.

Check-ins

The Check-ins card at the top of the screen sets how often Sanaf looks over its own work, such as approvals nobody answered or routines that failed, and speaks up only when there is something to say. Choose a schedule and select Save. Every weekday morning (the default) is the starting setting, and Off: only speaks when asked turns it off.
